CHAPTER 1: SYSTEM INTRODUCTION 1. Purposes Nowadays, along with the rapid development of computer hardware, the software is becoming more diverse, popular, more complete and more effective for people. The software simulates a lot of difficult operations, support for the users including convenience, fast processing time, and some highly automated operations. A specific example is managing high school students. Without the assistance of information technology, lots of people are required to manage all profiles and information. Schedule organization, score calculation, student grading, information reference, statistical reporting, and information editing also have the same problem. All of these jobs need a lot of time and effort, are not efficient, and might be prone to errors. Moreover, a large amount of information need to be stored. It is costly and may be lost. Meanwhile, these businesses can be done easily with the help of information technology, making student management simpler, faster, more convenient, and more efficient.

CHAPTER 2: SYSTEM DESCRIPTION I.

Description of system operation 1. Basic tasks Student Management System has basic tasks as follow:    

Manage student from the first day of school, each year until they graduate. Manage form teacher, manage classes. Summarizing and grading for review year completion and graduation The information is confidential, safe, streamlined for convenient reference, edit delete. 2. Organizational structure and responsibility assignment The organizational structure and assignment of high schools is relatively clear, including the aspects as below:  Department of Reception Students: responsible for entering student lists, filing students profile at school entering,  Department of Establishment Education Plan: responsible for scheduling, supplementing teaching and learning regulations, assigning teachers for teaching.  Department of Management Learning outcomes and behavior (grading): responsibility for entering scores, the behavior of students at the end of each period and give an assessment of learning results, reward discipline. 3. Process and processing data When students start entering the school, the Department of reception students receives the records, which are stored in the student record database.  Department of Reception Students: Each student has enough required to entering must provide full information about himself/herself. Department of Reception Students receives information of student, check and classification into each classes based on scores. Student records are updated in all subsequent years when the student is still continued study at school. After receiving student profile, Department of Reception Students classifies student into each class. After that, Department of Reception Students assign form teacher for each class. Each class has one form teacher who manage, introduction, guide for student the rules of school from the beginning of school year. List of each class and form teacher was prepared and stored in database. At the beginning of each year, data of student were updated, student records and class lists are sent to Department of Establishment Education Plan.  Department of Establishment Education Plan: When information about student, teacher, information of teaching and learning regulations are completed, Department of Establishment Education Plan planning teaching 4

timetable for teacher and learning timetable for student. Teaching and learning timetable which were planned will be sent for student, teacher and Department of Management Learning outcomes and behavior (grading). The timetable is set for the entire school year, which will be changed if needed. During the learning process, the form teachers and the teachers in the departments are responsible for managing and evaluating the results of each student. This result is constantly updated in the transcripts, individual behavior grading of each teacher. At the end of each school semester, the teacher sends a transcript and assesses the behavior of each student for the Department of Management Learning outcomes and behavior (grading).  Department of Management Learning outcomes and behavior (grading): Department receives completely information of learning process of student in the whole semester, year to summarizing and evaluating. Furthermore, department classifies, evaluates student and export stability, report, do year completion review and discipline. At the end of school year, Department of Reception Students updates data of score, behavior grading into student reports and it were stored until they graduate. Non-Functional Requirements  Operational requirements  The system has a friendly graphical user interface that helps users enter or view information conveniently.  The system has a user manual and a help system.  The system will operate in Windows environment.  Performance requirements  No special performance requirements are anticipated  Security requirements 10

 Each user has a separate user name and password.  User must have level: administrator, parents, teacher and student.  Data saved in the system can be backed up to and restored from backup files, which keeps the information safe.  When a profile is updated, all the related information is updated.  When new information is entered, an identification number must be provided. Otherwise, the user is asked to add one before proceeding.  Cultural and Political requirements  No special performance requirements are anticipated
